Incorrect assignment of year group to form group

In step 2 of the roll-over process, the system incorrectly assigned a different year group to a form group. This mistake could lead to:

  • Incorrect student placement
  • Disrupted class schedules
  • Inaccurate student data

What could be the cause and how to avert that?

In Gibbon, there isn’t a direct link between Year Group and Form Groups, which is intentional, enabling schools to implement these areas to meet their needs. Conceptually, if you create a Grade 8 year group, and Basic 8B form group, these are connected in your own understanding, but Gibbon doesn’t know about this association. Other schools may organise their forms differently, which is why they aren’t required to link directly to each other.

When you are seeing Kindergarten next to Basic 1 or any other year group, it’s likely just because Kindergarten is at the top of the dropdown list. The system knows that a Grade 1 student is likely a Grade 2 student the following year (because of sequence numbers), but it would only be able to guess at the Form Group if you have set a “Next Form Group” in the School Admin > Manage Form Groups page, and if the student was previously a student at your school.

Hope this helps! One way to make the rollover easier is to import your Student Enrolments before the rollover using System Admin > Import from File, which will pre-populate all these dropdowns with the correct settings.
