I have tried searching in the discussions about how I can make the preferred name in the whole system to be the “Official Name” as most schools use official name in every document records. From the image below is this the right place to change that and what should I write to show only the “Official Name” only…
Hi Kelvin, Gibbon cannot actually work like this. In our experience, a certain percentage of students don’t go by their official first name, but instead use an abbreviation or even their middle name. As such, the system uses:
Preferred Name + Surname to identify students within the system/school
Official Name to identify the student in more official settings, such as reports
In this way within the system/school students are recognised by their every day name, but externally they can be known by their full, official name, as it appears on their birth certificate, passport or ID card.
You are very clear on that. Think of these scenario; You want to print or produce a list of the students who left school for whatever reason; under ==> Home> students>left Students wouldn’t it be okay to get official name here, on my end I see (surname, preferred name).
It could not be a big issue to some, but I need to be exporting this list somewhere and official name would be appropriate.
One option is for us to duplicate this report in Query Builder, where it is easy to add Official Name, and we don’t need to start making the interface less consistent.
Are you planning on using this report in the school year or date range mode?
On further reflection, this report is actually a good candidate for including Official Name as a new field, as it is a spot where the school interfaces with other organisations, and so the official name is likely to be in use. As such, I’ve made the change to our v21 development branch, rather than as a new query.
