Add Form Group

Hi Ross, I have just installed the software and trying to set up the system with some information.
Can you clarify the “add form group” function? i am stuck. I am not seeing anything in the dropdown field.

Asher, Form Groups (or Roll Groups in US English) can be created in Admin > School Admin > Manage Form Groups. Form groups exist within school years, so you need to create new groups each year. Does this help? If not, please give me some more information on your issue. Ross

Hi Ross,
Probably I was not too clear. I am following your instructions as set out in the “Getting Started Guide”. I am now under the heading of “Groupings” -Add Role Group. I am not sure what goes in those input field. Could you explain further? Additionally there is no information in the “Tutors” and “Location” drop down field nor can I add any. I don’t know if I should complete some other settings prior to Creating Form Groups?

Ah, I see! You will need to add some staff in Admin > User Admin, and some Spaces under Admin > School Admin. Staff must first be added as users. Spaces are your various rooms and facilities in school. With these you can create form groups, which are the pastoral care groups that students attend for attendance registration.

Ross, are the roll groups synonyms of grades?, something like: 7A, 7B, 8A, 8B, etc ?
Also, we have no idea what do you mean with “pastoral care groups”, we don’t use those terms in our school.

Oflodac, in Gibbon, Year Groups are like grades (e.g. Grade 7, Grade 8), and are often the major groupings of students by age. Roll groups (or form groups) are smaller groupings of students (sometimes within a year group, sometimes across year groups), and would be called home rooms under a US-based naming system. As an example, my school has 60 students in Year 7, which has three roll groups within it (7.1, 7.2, 7.3). Students meet with their roll group tutor each morning to be registered (attendance), get school news, make sure they are OK, etc. This is what we call pastoral care. Hope this makes sense…there are so many educational synonyms, and because Gibbon has come out of the international school system, it uses a mixture. Ross.

Hi Ross, so this means that the years will be 1 through 12 and Forms will be 1.1, 1.2, 1.3… through 12.1, 12.2, 12.3?

I looked up Education system of Hong Kong in Wikipedia and got further confused

Yep, look right to me. You could also name it e.g. KG1 for Kindergarten 1, P4 for Primary 4, etc. It’s really up to you.
